Dialogue 1

A: Did you see the letter I got from Bradford Films, they send it in respond to your phone call last week.

你看到布拉德福德电影公司给我的信了吗?他们是回复你上周给他们去的电话。


B: If they wanted to say something about my call last week, why didn’t they sent it to me?

A: I guess they must not have your contact information, so they sent it addressed in care of department head. Anyhow, they wrote to confirm in writing what you discussed about Milton contract.

A: Sure, here it is.

A: Did they ask you to send the files beforehand?

B: Let’s see,” We would be grateful if you could please send related materials to our office prior to our meeting.”It looks like it……Hey, was there anything else sent along with this letter?

A: I don’t think so, why do you ask?

A: Maybe they forget to attach it to the letter. You should give them another call.

Dialogue 2


A: Can you help me a minute?

B: Sure. What can I you do for you?

A: I’m trying to write a letter to one of our clients, but I just don’t know exactly what to say. I don’t even know how to get started. I know I should write Dear Mr. or Ms., but the problem is I don’t know the name of contact person.

B: You can just put, “Dearsir or madam” or if it’s not personal, you can write “To whom it may concern”.

A: OK, so I first thanks them for their business, I can say something like, “We are very grateful for your continued support”. How’s that?

B: Good, but also, right off the bat you want to tell them the reason you are writing. Give them the reference.

A: Like, “Regarding our new product line, I would like to announce a special price discount.”

B: Right. Do you need them to respond?

A: Yes, the letter will have a survey inside that they should complete and return to our office. How should I write that?

B: You can tell them, “Please find enclosed our customer service survey.” Or also, you can say ”attached is our customer survey.” If you need the results right away, you can tell them it is urgent by saying, “Please return the survey without delay and as soon aspossible.” Maybe a more polite way is “at your earliest convenience”.

你可以告诉他们,“随信附上我们的客户服务调查结果,请查收。”或者,你也可以说“附件是我们的客户调查。”如果你马上需要调查结果,你可以告诉他们这是紧急情况,你可以说:“请立即尽快返回调查结果。”也许更礼貌的方式是“在你最方便的时候,务必最快回复”。


A: Great. And what do you think I should closed it with?

B: Since you don’t know them that well personally, probably the best way would be “Your faithfully”or”Sincerely”.You could also say,”Best regards”, but I don’t think that would be appropriate because you don’t have the name and obviously haven’t met them.

既然你对收信人的个人情况不太了解,最好的表达方式可能是“你的你忠诚的”或“真诚的”。你也可以说“致以最良好的问候”,但我认为这不合适,因为你不知道收信人的名字,显然也没有见过他们。
